Group-based Permissions

Many of you have been asking for the ability to grant a permission to a group on a specific activity, session, report or letter. Well, now it’s possible!

Administrators will be able to create group-based permissions in the Restricted Admin section of the Activities, Sessions, Reports and Letters Properties page:


As you can see, in addition to adding individual Restricted Admin as before, a pre-defined group of Restricted Admin can now be added as well. Of course, you must make sure that the Restricted Admin also have the corresponding “Specified activities|sessions|reports|letters” role property (defined on the User properties page of the Restricted Admin).

So how is this different?

Let’s look at a specific example - say you would like to grant access on a Session to 10 Restricted Admins. Prior to this enhancement, you would:

  • Set “Sessions > Specified Session” on the Properties page of each Restricted Admin
  • Add a permission for each Restricted Admin on the Properties page of the Session

With the new Group-based Permission functionality:

  • Set “Sessions > Specified Session” on the Properties page of each Restricted Admin
  • Create a group for the 10 Restricted Admins
  • Add a permission for this group on the Properties page of the Session

Removing access is even simpler, as you would now delete the permission granted for the group instead of each Restricted Admin individually.

Additional features of this new functionality include:

  • Admins can generate a report listing all the permissions of the Restricted Admins and groups of their account
  • Activity|Session|Report Admin Permissions integrations have a new field - “Group Code” - so that permission can be granted to groups instead of users via imports.

‘Multiple-choice (single answer)’ new default when creating Assessment question

When an admin creates a new assessment question, they are asked to choose a question type from a dropdown list. We are now making the default choice in that list the “Multiple choice (single answer)” option since that is the one most frequently used by clients.



‘Activity Code’ now displays in multiple areas when choosing an Activity

To aid administrators in choosing an activity in different areas of the system, we are now also including the Activity Code along with the Activity Title. Examples of areas where this can be seen are:

  • Assigning prerequisite activities on the Activity Properties page
  • Assigning Catalog Restrictions on the Group Properties page
  • Assigning Recommendations on the Group Properties page



‘Cities’ filter added to ‘All Sessions’ view

Recently, we added a “Cities” filter to the Upcoming Sessions area of a scheduled activity, so that students could filter out the list of sessions by city. We’ve now added the same filter to the “All Sessions” view from the Browse page:



‘Scheduled’ label added to scheduled activities in Admin Path view

We’ve added the “Scheduled” label to scheduled activities that are part of a Path so that it is easier to identify them on the Content page of the Path:



‘User registration code’ added to Groups filter when creating a Group

If an account is set up to require a user to enter a registration code when creating a new user account, the registration code is stored in the system along with the rest of the user’s data. We have made it possible to filter on the registration code when an admin creates a Group, thus making it easier to segment users into groups based on their code.


In addition, the “User registration code” field has been added to relevant reports as well as the advanced filter on the Users page.


Changing Assessment Question type from ‘Multiple choice (single answer)’ to ‘True/False’ gave error

If an admin tried to edit an existing Assessment question by changing the question type from “Multiple choice (single answer)” to “True/False,” they would receive an error. We have fixed this bug so that the question type can be successfully changed.

Viewing ‘Online Courses Only’ in the Catalog didn’t display integrated web conference sessions

When a Student accesses a scheduled activity in the Catalog, it is possible to filter the listed upcoming sessions by checking the “Online Courses Only” box, which will display those sessions which have the URL field filled in by the admin. However, sessions which are based on an integrated web conferencing solution (i.e., GoTo Meeting, GoToTraining or WebEx) should also display when the checkbox is selected, but weren’t. We have corrected this problem so that web conferencing sessions will display when “Online Courses Only” is selected.
