How Do I Troubleshoot a User Import with the System Log?

When a .csv user file is imported into the LMS, there are some common errors that occur. This article describes how to troubleshoot these errors that are found in the System Log.

First, click 'System Log' in the left navigation area. Then, click 'Details' underneath the Integration that has errors.

The Rule

The User Code and Login on one row of the user file must match exactly the User Code and Login on one profile in the LMS. If the user code and the login on the row of a file are:

User Code: 12345T
Login: a.smith

but on the user's profile, the data is:

User Code: 12345t
Login: a.smith

Then the system will not import that line of the file and will trigger an error for 'Login has already been taken.'

Note:

User Code is case-sensitive
Login is not case-sensitive

Example - It is okay to have the following on a row of the user file and on the user's profile in the LMS:

User file:
User Code: 12345T
Login: A.smith

User profile:
User Code: 12345T
Login: a.smith

Error: Login cannot be blank

The login is different for every account. Your account may use e-mail addresses, firstname.lastname, or many other combinations. The error 'login can't be blank' means that the cell in the user file that pertains to a user's login is blank. If this is the e-mail address, then the e-mail address must be filled in. etc.

Error: Login has already been taken

The 'Login has already been taken' error is the most common. This error occurs when the login on the line in the user file exists on a profile in the LMS that does not also have the same user code as the same line in the file.

You will need to locate the other profile in the LMS and change or remove that login so that the login on the row in the file is available for use. You should check for duplicate users. It is possible that there is more than one profile for the same user, and this is the most common reason that the login has already been taken.

It is also possible that there is a typographical error in the User Code on the user file or on the user profile in the LMS. If the user code is 'BCD' on the user file and 'BcD' on the user profile in the LMS, then the system will attempt to create a new user with the 'BCD' user code as it is unique and represents a new profile. This frequently will not work as the login is likely the same on both that same line in the user file and that same line in the user profile. When the login is the same and the user codes are different, then an error occurs.
